An AI Chief of Staff Running a Founder's Calendar, Inbox and Meetings
One assistant that runs the whole cycle around a founder's meetings. It books and manages the calendar, watches the inbox, sits in every meeting as note-taker, files the transcript, spots any follow-up meeting mentioned and offers to book it, and chases the documents needed before the next call.
Before: a founder doing their own admin.
A founder's time is the scarcest resource in a business, and most of it leaks through small administrative gaps.
The meeting that should have been booked last week. The contract that was meant to arrive before the call and did not. The "let's pick this up next Thursday" said on a call that nobody wrote down. Notes that live in one app, the calendar in another, and the inbox in a third. Every one of those gaps costs a few minutes to close, and the founder was the one closing them, usually late in the evening.
A separate note-taker or calendar bot would have added another app to check. The brief was one connected assistant that manages the whole cycle around meetings and communication, so the founder walks into every conversation prepared and never chases the loose ends personally.
What we built: a meeting treated as a lifecycle.
The design treats each meeting as a cycle with a before, a during and an after, and automates every stage.
Before the meeting
The assistant manages the calendar and books meetings. It tracks the documents each upcoming meeting needs and chases the missing ones ahead of time, so nothing is outstanding when the call starts. It also watches the inbox and surfaces what matters.
During the meeting
A meeting capture layer records each meeting and produces a transcript and a summary.
After the meeting
The transcript and summary are sent into a central database rather than left in a separate tool. Then the transcript is read, not just stored: the system scans it for any mention of a follow-up meeting. When it finds one, it proposes the booking back to the founder for a one-tap confirmation. That link between stages is the point. The output of one meeting becomes the input to the next, without anyone having to remember.
How it is wired
The capture tool pushes finished summaries by webhook. The orchestration engine files the transcript, runs the follow-up scan, and routes booking requests and document chases back to the founder through the assistant. It behaves as one chief of staff rather than a drawer of disconnected apps.
What changed: the admin layer of the week, handled.
The founder now has an assistant that runs the meeting and communication cycle end to end. It books and manages the diary, keeps the inbox under control, captures every meeting, files the record automatically, turns spoken follow-ups into booked meetings and makes sure documents are ready before they are needed.
The part of a founder's week that eats hours and still drops balls is handled by one system.
Day to day now.
A call ends with "let's get the finance team on a call next week". A few minutes later the founder gets a message: "Book a follow-up with the finance team? Here are three slots." One tap and it is in the diary. Two days before that meeting, the assistant notices the budget file has not arrived and chases it. On the day, the founder opens the calendar invite and the previous meeting's summary is already filed and searchable.
The same pattern, in your business.
This build was for one founder, but the pattern works anywhere meetings create work: capture what was said, file it where the team can find it, and act on the next step automatically.
- If you run a sales team, every call is transcribed, the CRM is updated, and the follow-up is drafted and booked before the rep moves on.
- If you run a consultancy or agency, client meeting notes are filed against the account, action items become tasks, and missing documents are chased before the next workshop.
- If you run a clinic or practice, consultation notes are summarised and filed, and the follow-up appointment is offered before the patient leaves the building.
